How to build a weekly ops report from Gmail and Google Drive automatically

A weekly ops report is a recurring summary of what changed—projects, blockers, decisions, and next steps—usually sent to leadership or clients at the start of the week.

Most teams waste 2–4 hours every Monday opening Gmail labels, Drive folders, and a task board to reconstruct a narrative that should follow the same outline each time.

The automation pattern: (1) fix the report template, (2) list authoritative sources, (3) let an agent assemble a first draft, (4) a human edits for judgment calls, (5) send.

Step 1 — Template. Use the same headings every week: Highlights, Risks, Client/Project updates, Decisions needed, Next week. Store the template in the SOP, not only in last week's email.

Step 2 — Sources. Name folders, labels, or calendars explicitly: "Drive:/Clients/Acme," "Gmail label: Acme/ops," "Calendar: Acme standing meeting." Ambiguous sources produce ambiguous drafts.

Step 3 — Assembly. An AI ops agent reads those sources, diffs against "what was true last week" when possible, and fills each section in your voice.

Step 4 — Review. Budget 15–20 minutes for edits. The win is skipping the 90-minute gather-and-outline phase, not eliminating the human sign-off.

Step 5 — Publish. Send from Gmail or paste into a client portal. Some teams also push action items to ClickUp or Asana in the same run.
